When buying from several suppliers in China, you need to check collection times, packaging and costs for each order. One option is to bring the goods to an agreed location and arrange a combined shipment. Whether consolidation is worthwhile depends on whether the goods can travel together, when each supplier will be ready and the total cost, including collection and storage.
Manage supplier orders with one checklist
Record each supplier's products, specifications, quantities, collection address, contact details, expected collection date and packaging requirements in one list. Each carton should be traceable to its supplier and order, so goods can be checked on arrival and discrepancies followed up.
The buyer or purchasing coordinator should manage this list and share only the information each supplier or service provider needs for their work.
For fragile goods, liquids, powders, batteries or products with temperature requirements, provide accurate product information before arranging collection. Ask the logistics provider to confirm whether it can carry the goods, whether they can be shipped together and which documents are needed. Destination import conditions and documentation also need to be confirmed with the party responsible for importing and customs clearance.
Confirm when the goods are ready for collection
Production completion, inspection approval, packing completion and readiness for collection may fall on different dates. Confirm which stage each supplier has reached, what remains unresolved and the earliest date the goods can be collected.
Decide whether to wait for the last supplier or send urgent goods separately. Waiting may add storage costs and delay delivery; splitting the shipment may add transport and handling charges. Compare these costs alongside your delivery requirements.
Agree receiving checks and product inspection separately
A signed delivery receipt does not mean that the quantities, specifications and quality inside every carton have been verified. Before receipt, agree whether the service covers only carton counts and outer packaging, or also opening cartons, checking quantities and inspecting products. Define the checking standard and how results will be recorded. If product inspection is needed at the supplier's premises, arrange it before collection.
Keep records of shortages, damage or unclear labels, and agree how to resolve them before repacking or dispatch. This helps avoid discovering discrepancies after shipment, when tracing them to an individual order may be harder.
Compare total costs using the final packing details
You can start comparing options with estimated carton counts, external dimensions and gross weights, provided the estimates are clearly labelled. Include the product description and destination. After repacking or adding pallets, use the final packing data to confirm charges and whether the original quotation still applies.
Compare separate supplier shipments with consolidation on the same delivery basis. Include collection within China, storage, receiving and handling, any required inspection, packing, international freight, destination delivery and applicable duties and taxes. List any unconfirmed charges separately.
Consolidation may reduce some repeated charges, but extra collection, storage or packing costs can offset the saving. Comparing only the international freight leg can leave out a significant part of the total spend.
Confirm the shipment details and responsibilities
Agree who checks arriving goods, resolves supplier discrepancies, approves packaging changes and authorises dispatch. Before shipment, confirm the actual quantities, packing data, delivery scope and any outstanding issues, and retain the approval record.
Purchasing, product inspection, consolidation and destination customs clearance may be handled by different service providers. Agree each party's work and fees in advance so it is clear who will deal with a problem.
